02 / The details that matter
More than extracting a number.
Keep the original in the decision
The person reviewing an invoice should be able to see the source alongside the proposed data. The workflow preserves document references, highlights uncertain values and separates extracted information from the coding decisions your team makes.
A digital PDF and a low-quality scan may require different handling. We test representative documents, including unusual layouts, credit notes and files with multiple pages.
Connect extraction to accounting rules
Recognizing an invoice total does not establish the supplier account, tax treatment or posting destination. Those decisions need a map agreed with your finance team. New suppliers, unfamiliar currencies and inconsistent totals become exceptions.
The aim is to remove repeated typing while preserving the review steps that make the accounting record dependable.
Choose the right route into Sage
There is no single PDF import that works across every Sage product. We first assess whether a supported document-capture product already fits the job. A custom workflow is useful when document intake, review or downstream handoffs need to follow your process.
Where a custom build makes sense, it joins capture, extraction, validation and an edition-compatible destination rather than pretending the PDF itself is an import file.

Approved coding, not a guess
Supported document-capture tools may already meet your needs. We assess those alongside a custom build. Accuracy, document coverage and posting compatibility are tested on representative samples; no error-free extraction claim is assumed.
Capture details once and reuse the approved data through the accounting handoff.

A focused review queue
Direct attention to uncertain amounts, unfamiliar suppliers and coding decisions.
03
Document-level traceability
Keep the PDF, extraction draft, approval and result connected.
Shaped around your process.
The workflow is designed around your source documents, volume, review roles and Sage edition. Document storage, access, retention and external processing tools are agreed before real invoices enter the system.
A PDF is not a universal native Sage import format. Document-capture products and custom workflows can extract data and pass approved records into supported Sage routes. Compatibility depends on the product and transaction type.
Can you handle scanned invoices?
Scans can be assessed for OCR-based extraction. Image quality, layout and language affect the result, so we test representative documents and route unclear information for review.
What about invoices received by email?
An agreed mailbox or folder can feed the intake workflow. We define which messages qualify, how attachments are identified and how repeat or unsupported documents are handled.
Will the AI decide the tax treatment?
Tax and account rules are agreed with your finance team. Unclear treatment becomes a review task rather than an unverified AI decision.
Should I use AutoEntry instead of a custom build?
Possibly. We start by checking whether an existing supported product solves the workflow. Custom work is scoped around gaps such as unusual intake, approval rules, source systems or downstream handoffs.
