Bulk Import Excel & CSV Files into Sage 50

Sage & accounting / Custom built

Bulk Import Excel & CSV Files into Sage 50. One batch.
Every row
accounted for.

Move recurring spreadsheet work out of the copy-paste cycle. I build bulk import workflows that clean your source files, map the right fields and surface exceptions before data reaches Sage 50.

The difficult part is rarely uploading the file. It is knowing every row belongs in the right place.

02 / The details that matter

An import process you can repeat.

Confirm the destination first

Sage 50 Canada, Sage 50 US and Sage 50 Accounts UK have different import capabilities. Even within a product, a customer list, a general journal and a purchase transaction are different jobs. I start with your country, edition, version and the record type you need to create.

A supported native import may be enough. Where it is not, we assess an appropriate connector or custom route before committing to a build.

Make the source predictable

Recurring exports often change their headings, date formats or grouping. The workflow defines which columns are required, how blank values are treated and how multi-line transactions stay together. Unrecognized codes go to a review list instead of being guessed.

The output includes a repeatable field map and a way to trace each prepared record back to the source file. Your team can understand what changed and why.

Treat posting as a controlled step

A prepared file is not proof of a successful import. We test a representative batch, agree who approves it and reconcile the destination records afterward. Error reports identify what was accepted, held or rejected.

In Sage 50 Canada, a general-journal import must not be used as a blanket substitute for receivables, payables or inventory transactions. The correct module and supported route matter.

What the preparation layer checks
What arrivesWhat gets checkedThe next step
Dates & periodsAccepted format and posting periodAn explicit date mapping
Account / tax codesKnown values and agreed treatmentMapped codes or an exception
Document referencesRequired identifiers and duplicate rulesA traceable transaction key
Amounts & totalsBalanced groups and control totalsA batch ready for review

Bring your Sage country, edition and version, a redacted sample file, the transaction type and typical batch volume. Compatibility and supported posting routes are confirmed before implementation.

03 / What the build is for

Less rebuilding. More forward motion.

01

A repeatable map

Replace a new spreadsheet cleanup exercise each month with a documented set of rules.

02

Visible exceptions

Give the team a focused list of rows that need correction before they reach accounting.

03

A record of the batch

Keep the original, prepared output and import outcome connected for reconciliation.

Shaped around your process.

The build can include file preparation, mapping, validation, approval and an edition-compatible import handoff. Native product capabilities, connector licensing and any custom posting work are scoped separately.

04 / Before we start

The useful questions, answered.

Can I import Excel directly into Sage 50?

It depends on the country, edition and record type. Some Sage products support Excel or CSV imports for specific data; others require a defined text format or another route. I confirm that first, then prepare the source to match.

Can you import hundreds of invoices in one batch?

We can design a bulk invoice workflow, but the supported transaction route, required fields and expected volume need to be tested for your edition. A general-journal import is not automatically an invoice import.

What happens to duplicate rows?

We agree a duplicate key, such as a source transaction ID or a combination of supplier, reference and date. Suspected duplicates are flagged or held according to the agreed rules.

Will this replace the bookkeeper’s review?

No. The workflow prepares and checks data so the bookkeeper or accountant can review the exceptions and approve the batch with context.

Can this run on a schedule?

Scheduled preparation can be included when the source and destination support it. The scope defines where approval is required and what happens if a file is missing or an import fails.
