Specific findings. Visible sources.
Define what the first pass checks
A review assistant needs a clear job: identify missing fields, compare names and dates, check whether the requested category of document was supplied and flag unreadable content. The practice determines the checks and how each finding is handled.
The workflow should distinguish an extracted observation from an interpretation that requires professional judgment. It should also allow the reviewer to dismiss a false flag or correct an extraction.
Make inconsistencies actionable
A statement that “something is wrong” adds another task. A useful finding points to the relevant files, fields and discrepancy so the reviewer can investigate. The same applies to a requested clarification: staff should see why it was raised.
We scope the review output around the practice’s process, including severity, ownership and the information needed for a client follow-up.
Plan for sensitive information
The design covers which providers process data, what information is sent, who can access the results and how retention is handled. Those decisions are verified for the actual implementation; they are not implied by the phrase “AI-powered.”
This is support for document handling and professional review. It is not an eligibility engine, a fraud determination service or an application-approval prediction.

IRCC form validation and professional document review are different tasks. The practice’s checklist, current program requirements and human review remain authoritative. AI processing and privacy controls are agreed before using real applicant information.
Organize the first-pass findings instead of asking the reviewer to reconstruct the entire file.

Shaped around your process.
We define the review checks, document scope and output format before a pilot. Representative synthetic or redacted examples help test difficult layouts and false flags before introducing live files.
This workflow does not approve evidence or determine immigration eligibility. It assists with extraction and first-pass checks; the licensed professional reviews the file and makes the decisions within their role.
Can it compare information across documents?
A scoped workflow can compare extracted fields such as names and dates and flag differences. The reviewer sees the sources and decides whether the variation matters.
Does this replace IRCC’s validation step?
No. Applicable official forms and portals still have their own validation and preparation requirements. A review assistant is an additional operational aid.
What happens if the AI is wrong?
The workflow must let staff inspect sources, correct values, resolve findings and track the decision. The pilot tests extraction errors and false flags rather than assuming they do not occur.
Is applicant information sent to external AI services?
That depends on the architecture selected for the project. Providers, data flows, permissions and retention are reviewed with the practice before real applicant information is processed.
