02 / The details that matter
A checklist that becomes a workflow.
Start with the practice’s requirements
A generic upload box cannot decide which evidence a file needs. The practice defines its programs, document categories, family-member roles and instructions. We turn that into a checklist the client and staff can both understand.
Checklists can distinguish a missing upload from an item that is received but still needs professional review. Those are different states, with different next actions.
Make reminders useful
A useful reminder says what is missing and where to provide it. It should not re-request documents that have already arrived or imply that receipt means approval. The workflow tracks status changes and gives staff a way to pause or correct follow-ups.
Complex questions stay with your team. The system handles predictable prompts while the practice keeps the client relationship and professional judgment.
Design the information boundary
Applicant files contain sensitive personal information. Before implementation, we agree who can access a file, how upload invitations work, where information is stored and how long it is retained. These choices depend on the actual architecture and practice requirements.
Initial discovery can use synthetic or redacted examples. There is no public document-upload form on this marketing page.

A handoff to professional review
This is operational software for immigration practices. Program requirements, access, consent, retention and staff responsibilities are established with the practice; document receipt is not an immigration assessment.
Keep received documents and remaining requests attached to the correct client file.
02
More useful reminders
Follow up on the actual gaps instead of rewriting the full checklist in email.
03
A cleaner review handoff
Give the reviewer the documents, open questions and collection history together.
Shaped around your process.
The build can cover intake, upload access, checklists, status tracking and reminders. Hosting, storage, identity checks, access permissions and retention are selected and verified as part of the project.
Yes. A dedicated upload route can be designed for each file or client, with access controls agreed for the practice. A link alone is not a complete security design.
Can checklists differ by immigration program?
Yes. Your team provides and maintains the requirements; the workflow uses the relevant checklist for the file. It does not independently decide program eligibility.
Does receiving a file mark it as approved?
No. Received, checked and approved should be separate statuses. Staff review remains visible in the workflow.
Can reminders stop once the document arrives?
That behavior can be built around the agreed status rules. Staff also need controls for exceptions, pauses and cases where a replacement is required.
Can I send a real client file to get started?
Use a synthetic or redacted example for the initial conversation. We establish data handling, access and processing arrangements before working with real applicant records.
